01Information we collect

We collect information in three ways:

Information you provide

When you book a demo, contact us, or sign up for the service, you may give us your name, work email, phone or WhatsApp number, company or property name, number of units, and any message content. If you become a customer, this also includes account and billing details.

Information we collect automatically

When you use our website or platform, we automatically collect device and usage data such as IP address, browser type, pages viewed, referring URLs, and timestamps, primarily through cookies and similar technologies (see Cookies and analytics).

Customer data

When you use Oswell to run your operations, our AI agents process data you and your authorized users provide or connect — for example, prospective and current tenant contact details, messages, maintenance requests, lease and contract documents, and property records. We process this customer data on your behalf as a processor, in accordance with your instructions and our agreement with you.

Oswell uses artificial intelligence, including third-party large language models, to draft messages, summarize requests, and automate workflows. We do not sell your data, and we do not permit our AI subprocessors to use customer data to train their general-purpose models except where required to deliver the service and permitted by our agreements with them.

AI-generated output can be imperfect. Oswell is designed to keep a human in the loop for sensitive actions, and customers remain responsible for reviewing outputs before they are acted upon.

05Data retention

We retain personal information for as long as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer data is retained according to your instructions and our agreement with you, and is deleted or returned on termination as described there.

06Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls, and least-privilege practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

07Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal information, and to object to certain processing or withdraw consent. Residents of the EEA/UK (GDPR) and California (CCPA/CPRA), among others, have specific rights. To exercise a right, email hello@oswell.io. For customer data, we will direct requests to the relevant customer who controls that data.

08Cookies and analytics

We use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect functionality.

09Third-party services

Our website and platform integrate third-party services — for example, demo scheduling via Google Calendar and meetings via Google Meet. Those services process information under their own privacy policies, which we encourage you to review.

10International data transfers

We may process and store information in countries other than your own. Where we transfer personal information internationally, we use appropriate safeguards consistent with applicable law.

11Children’s privacy

Oswell is a business product not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us personal information, contact us and we will delete it.

12Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, for material changes, provide additional notice where required.
